Terms of service

1. The service

VendBeacon is software for running a food-truck business: truck-safe routing and navigation, compliance documents, events and permits, dispatch, inventory, crew scheduling with text messages, a time clock, and payroll exports. By creating a business or accepting an invite you agree to these terms and to our privacy policy. If you sign up on behalf of a business, you confirm you may bind it.

2. Accounts and roles

Owners control a business's account, billing, members, and roles. Admins run operations. Drivers and crew see what their role allows. You are responsible for who you invite, for keeping logins private, and for everything done under your accounts. Tell us at once if you suspect misuse.

3. Subscriptions and payment

• Every new business gets a 14-day free trial with no card. After that, routes, navigation, and new events need an active subscription; everything already entered stays readable.
• Plans are priced per active truck, monthly or yearly, at the prices shown in Settings at the time you subscribe. Adding a truck is billed pro rata; retiring one reduces the next invoice. Prices can change with 30 days' notice by email; a change never applies mid-term to a yearly plan.
• Payments are processed by Stripe. Subscriptions renew until cancelled from Manage billing; cancellation takes effect at the end of the paid period, and fees already paid are not refunded except where the law requires.
• Taxes are added where applicable. Promotion codes cannot be combined.

4. Your data and your crew

Your business owns what it enters. You grant us the right to store and process it to provide the service, as described in the privacy policy. You are responsible for having the right to enter it, including your crew's names and mobile numbers, and for complying with employment and wage laws where you operate. Time-clock entries, timesheets, and payroll exports are tools; they are not a determination of hours owed or of overtime, which remain your responsibility to verify.

Schedule texts are sent to a crew member only after that person replies YES to an opt-in text, as described on the text message program page. You must not use the service to text anyone who has not opted in or who has opted out.

5. Routing and navigation

Routes are computed from the truck dimensions, weight, and propane information you enter, using third-party road data that can be incomplete or out of date. Routes, restriction warnings, and turn-by-turn guidance are aids for a licensed driver, not a substitute for reading signs and obeying the law. The driver remains responsible at all times for the vehicle, its load, and the road chosen. Enter dimensions carefully: a wrong height or weight produces a wrong route.

6. Connected services

Square, Stripe, Twilio, Google, HERE, and other providers we use have their own terms, which apply to your use of them through VendBeacon. Connecting Square is optional and can be disconnected in Settings at any time.

7. Acceptable use

Do not use the service to break the law, to send unsolicited messages, to upload content you have no right to, to probe or overload our systems, or to access another business's data. We may suspend an account that does, after notice where practical.

8. Availability and changes

We aim to keep the service available at all times but do not guarantee it; maintenance, outages at our providers, and events beyond our control can interrupt it. We may add, change, or retire features. If we discontinue the service, we will give at least 60 days' notice and a way to export your data.

9. Disclaimers and liability

The service is provided "as is" without warranties of any kind, express or implied, including fitness for a particular purpose. To the fullest extent the law allows, VendBeacon is not liable for indirect, incidental, or consequential damages, for lost profits or revenue, for fines or penalties, or for damage to a vehicle or its cargo, and our total liability for any claim is limited to the fees you paid us in the 12 months before the claim. Some jurisdictions do not allow these limits; there, they apply only as far as permitted.

10. Ending the agreement

You can close your business's account at any time by emailing us; we delete its data as described in the privacy policy. We may end the agreement for a material breach that is not fixed within 15 days of notice, or immediately for misuse that harms others.

11. General

These terms are governed by the laws of the state in which QUAZM.AI LLC is organized, without regard to conflict-of-law rules, and disputes are resolved in the courts there. If a part of these terms is unenforceable, the rest stands. We may update these terms; material changes are announced by email at least 14 days before they take effect, and continued use after that date is acceptance. Contact: support@vendbeacon.com.
